Bulk Invite candidates

Bulk invite candidates by importing a spreadsheet of their names, email addresses, and mobile numbers into a job's Applications area. The importer accepts .xls, .xlsx, and .csv files, reads only the first worksheet, and lets you map your columns before you send the invitations.
Import the candidates
Open the job you want to invite candidates to, then go to its Applications section and select the Invited tab. From the inline invitation form, select Import using CSV and choose your file.
In the Invite candidates modal, match the columns in your sheet to the fields First name, Last name, Email, and Mobile no. using the Field, Column in sheet, and Eg. table.
Select Preview to review every imported row in its original order.
Select Invite all to send the invitations.
Each invitation email contains a unique link for that candidate, which lets them start the application without entering their details on the job page and resume an incomplete application later with the same link.
What makes a row valid
A row is invited only when all four fields pass: first name is present, last name is present, email passes validation, and mobile number passes the importer's number check. Valid rows show a green tick in the preview; invalid rows keep a red warning icon and invalid styling but stay visible in the preview.
Selecting Invite all submits only the valid rows and silently omits the invalid ones. If no row is valid, the request is not sent and the modal shows No valid row found. The preview does not explain why a row failed, count the invalid rows, or let you correct a row in place.
Limits and caps
An import can hold up to 500 data rows. A file with more than 500 rows is rejected before preview with the message You can only invite upto 500 candidates at a time.
Each job also has an invitation cap. If the whole submitted batch would push the job past its cap, the entire batch is inserted as queued rather than invited, and the modal shows Invite cap reached β {n} candidate(s) held as Queued. Queued candidates are not sent invitation emails immediately; they appear with an Invited status badge in the application list and can be reviewed under the Queued filter.
Email delivery timing and retries
Bulk invitations are sent immediately β the delayed-invitation setting does not apply to them. The invitation email is scheduled for the current time and is delivered asynchronously by our email worker, so a candidate can receive the email a short time after you submit the import rather than instantly.
If a delivery attempt fails, the email is retried automatically. Below three attempts the email returns to Scheduled for the next worker pass; on the third failed attempt it becomes Failed. We don't expose a retry delay or a recruiter-facing retry action, and a failed email is not picked up again automatically.
Invitations require an active subscription and an enabled invite-applicants email template. Without them, the import is blocked with a message telling you to upgrade or to enable the template from the job's settings.
