Connect Microsoft to Send Outgoing Emails
Hirevire can send candidate emails through your connected Microsoft account, ensuring messages come from your own email address. This requires granting Microsoft permission to send email via SMTP during the connection flow.
How to Connect Your Microsoft Account
Go to Settings > Email settings in your organization
Select Microsoft as the email provider
Enter your Microsoft SMTP server host and port
Click the option to connect your Microsoft account
On the Microsoft consent screen, review the Permissions requested
Approve the SMTP.Send permission — this is the critical permission Hirevire needs
Click Approve to complete the connection
Important: The Microsoft consent screen lists the permissions Hirevire needs. If you deny the request or the SMTP.Send permission is not granted, outgoing emails will fail because Hirevire cannot authenticate to your Microsoft SMTP server.
Fixing Missing SMTP Send Permissions
If your Microsoft account was connected without the SMTP send permission, emails will not be delivered. You'll see authentication errors when saving settings or sending a test email.
To fix this:
Go to Settings > Email settings
Click the option to reconnect your Microsoft account
On the Microsoft consent screen, ensure the SMTP.Send permission is included and approved
Click Approve to save the updated permissions
After reconnecting with the correct permission, send a test email to confirm delivery.
Verify Your Connection With a Test Email
If emails aren't arriving, check your settings and test the connection:
Go to Settings > Email settings
Click Send a test email
Check the response message
Common outcomes:
Test email sent successfully — Your Microsoft connection is working
Couldn't send test email. Please check your settings once. — The connection failed; check your host, port, and consent permissions
When saving settings, you may also see:
Could not verify the settings. Please check and try again. — The host, port, or authentication is incorrect; verify your Microsoft SMTP details and reconnect
Not allowed — Your Microsoft account or tenant policy blocks third-party SMTP access
SMTP settings not found — The Microsoft connection has not been saved or was removed; reconnect your account
When to Use Custom SMTP Instead
Hirevire supports both Microsoft OAuth and Custom SMTP for outgoing email. Microsoft OAuth uses your Microsoft account credentials and an access token, so you do not need to manage a separate password.
If your domain has a strict DMARC policy enabled, the Email settings page may block saving with Microsoft OAuth and require Custom SMTP instead. If you see the message "We're unable to send emails on your behalf due to your email account's security settings. To resolve this, please configure your email settings to use a custom SMTP server," switch to Custom and enter your SMTP server details.
Both methods work independently — use whichever fits your workflow.
