Use a forwarding address to turn candidate emails into interview invites
Updated 4 days ago
Forward a candidate's email to your job's forwarding address and Hirevire turns it into an interview invite: the candidate details are read from the forwarded message, an invited application is created, and the job invite is sent to the candidate by email.
Where to find the Forwarding Address tab
The forwarding address belongs to a single job, and you manage it from that job's settings.
Open the job and select the Settings tab.
Select Forwarding Address.
On this tab, a job owner can view, copy, rotate, and configure the job's forwarding address.
The feature is included in the Essentials, Professional, and Agency plans and requires an active subscription. The legacy One Job, Startup, and Growth plans do not include it in their current plan definitions.
Copy and rotate the address
Use Copy the email address to copy the job's generated forwarding address.
Rotate address generates a new forwarding address and immediately invalidates the old one.
Configure intake and sender access
Intake is controlled by the Accept forwarded emails toggle and by the senders you allow. Configure both on the Forwarding Address tab before you share the address.
Turn on Accept forwarded emails.
Turn on Allow senders outside your team if people who are not members of your team should be able to forward candidates in.
Add senders to the allowlist: individual email addresses, or whole-domain entries that cover any address at that domain.
Select Save changes.
Leaving the Forwarding Address settings with a changed configuration or a sender that was typed but not added shows the warning "You have unsaved changes. Are you sure you want to leave?"
Forward a candidate email
With Accept forwarded emails on, forward the candidate's email from your own inbox to the job's forwarding address. Hirevire reads the forwarded message and any attached CV to extract the candidate details, creates an invited application, and sends the candidate the job invite. It then replies in your forwarding email thread to confirm the invite was created.
A forwarded CV is attached to the application only when the job collects the Resume field. If the job does not collect a resume, the CV attachment is not attached to the application.
When a forwarded email is rejected
Hirevire rejects or skips a forwarded email, and replies in the forwarding email thread with an explanation, in these cases:
The candidate already exists on the job (a duplicate).
The forwarded email has no candidate email address.
The job is closed.
The sender is not authorized.
Edit the invite email from the success reply
The success reply in the forwarding email thread includes an Edit the invite email link that opens the job's Emails settings tab, where the invite email template can be edited. For the full template options, see How to send assessment links and customize email templates.
