Managing Email Notification Settings

Hirevire sends email notifications when candidates complete applications. You can control how and where these notifications are sent to avoid inbox clutter and route messages to the right team members.

Turn Off Application Email Alerts

If you're getting too many application notifications, here's how to stop them:

  1. Go to My Account > Profile details

  2. Under Email Notifications, find For every new application

  3. Turn it OFF to stop instant alerts for each new application

Want fewer emails, not none? Turn off For every new application and keep Weekly recap or Monthly recap enabled. You'll get one summary email instead of individual alerts for every completed application.

Types of Notification Controls

Hirevire has three separate layers of email control. Knowing which one you need helps you stop the right emails:

  • Personal notification preferences — What lands in your inbox. Controlled in My Account > Profile details. This is where you turn application alerts on or off for yourself.

  • Per-job CC emails — Add teammates to receive notifications for specific jobs. Configured in each job's Settings > Emails/SMS tab.

  • Organization-level email routing — Set the From/Reply-to address for all outgoing emails. Found in Settings > Email settings.

Personal Notification Preferences

Control which notifications you receive in My Account > Profile details:

  • For every new application — Instant notification for each completed application

  • Weekly recap — Summary of all applications from the past week

  • Monthly recap — Summary of all applications from the past month

Notification preferences work at the organization level. When you switch organizations, you can set different notification preferences for each one.

Manage Notifications Across Multiple Organizations

If you manage multiple organizations (subaccounts), disable notifications for high-volume ones to keep your inbox manageable:

  1. Switch to the organization using the dropdown in the header

  2. Go to My Account > Profile details

  3. Turn off For every new application for that organization

  4. Keep it enabled for organizations where you need instant alerts

Each organization remembers its own notification settings. This is useful when one organization gets high application volume but others need your immediate attention.

Organization-Level Email Routing

Each organization has independent email settings:

  • Organization-level settings — Set global From/Reply-to addresses in Settings > Email settings to route all notifications for that organization to a dedicated inbox

  • Per-job CC emails — Add CC addresses in Job settings > Emails/SMS tab to copy specific team members on notifications for individual jobs

Each organization has its own SMTP settings, email templates, and team. Configure these separately to keep notifications organized by client, department, or project.

Troubleshooting

I turned off notifications but I'm still getting emails

Check which type of email you're receiving:

  • Application alerts — Make sure For every new application is OFF in My Account > Profile details for the correct organization

  • Weekly or monthly recap — These are separate toggles. Turn them OFF if you don't want summaries either

  • CC'd on a job — You may be listed as a CC recipient on specific jobs. Check Job settings > Emails/SMS tab for each job

How do I stop emails for just one organization?

Notification preferences are organization-specific. Switch to the organization you want to quiet, then go to My Account > Profile details and turn off For every new application for that organization only. Your other organizations will keep their own settings.
